# Creating Live Classes
Source: https://help.kibu.com/content/create-your-own-live-class
Administrators can create and schedule their own live classes for members in addition to Kibu's daily programming.
Organizations can host their own live classes directly inside Kibu, alongside the daily sessions run by Kibu coaches. This is useful for staff-led activities, organization-specific programming, or recurring group sessions on your own timetable.
Creating live classes requires administrator access. Staff members can view and join classes but cannot create them.
## Creating a class
Navigate to **Live Classes** from the top navigation bar.
The button is in the top right of the Live Classes page.
This appears on the class card that members and staff see. Keep it clear and descriptive, for example, "Morning Movement" or "Tuesday Social Skills Group."
The first \~50 characters appear on the class card. Longer descriptions are tucked behind a "Show more" toggle. Use this to tell participants what to expect or what to bring.
Choose the date, time, and timezone. Enter the duration in minutes. Classes default to 60 minutes, adjust to match your session length.
Choose whether the class repeats. Recurring classes are created automatically on the chosen schedule without needing to be re-entered each time.
Choose the staff member who will lead the class. Their name and photo will appear on the class card.
The class is added to your Live Classes schedule immediately and is visible to all members and staff in your organization.
## What the class card shows
Once created, your class appears in the Live Classes schedule alongside Kibu's programming. Each card displays:
* Class title and description
* Instructor name and photo
* Scheduled time and timezone
* Duration
* Status - upcoming, live now, or ended
Members and staff can set a **Remind me** notification so they don't miss it.
## Managing your classes
Open the class from the Live Classes schedule and select the edit option. You can update the title, description, start time, duration, repeat cadence, and instructor.
Open the class and select the delete or cancel option. For recurring classes, you can choose to delete just the one occurrence or all future instances in the series.
Past classes remain visible in the schedule with an "ended" status. Use the calendar view to navigate to previous dates.
## Tips for running great sessions
* **Test your setup before going live.** Join the class a few minutes early to check audio, video, and screen sharing.
* **Use recurring classes for regular programming.** Setting a repeat cadence means your weekly groups show up automatically, no need to recreate them each week.
* **Keep descriptions short and specific.** The first 50 characters are what most people read before joining.
* **Share the schedule.** Members and staff can add the Kibu Live Classes calendar to Google Calendar or Outlook. See [Live Classes](/content/live-classes) for instructions.
Kibu's own daily programming runs alongside your organization's classes. Members see both in the same schedule view, so your sessions benefit from the same join experience as Kibu's built-in programming.

# Watching Kibu
Source: https://help.kibu.com/content/watching-kibu
Kibu works on any device with a browser. For the best group experience, we recommend casting or connecting to a TV screen.
## Recommended: Cast or Connect to a TV
The best way to watch Kibu with a group is on a large screen. Whether you're in a day program, residential setting, or classroom, getting Kibu on the TV makes classes more engaging and easier for everyone to follow along.
**Best experience:** Use a Google streaming device (Chromecast or Google TV) or connect a laptop or tablet directly via HDMI cable. Both options are simple to set up and work great with Kibu.
## Devices at a glance
**Recommended.** Cast directly from Chrome on any laptop, tablet, or phone. No cables needed.
Plug a laptop or tablet directly into any TV or monitor with an HDMI port. Simple and reliable.
Works on any modern browser. Chrome gives the most consistent experience.
iPad and Android tablets work well for individual use or small groups.
Works on iOS and Android. Best for Quick Notes and documentation on the go.
Some smart TVs have built-in browsers. Compatibility varies, casting from another device is more reliable.
## How to cast with Google Chromecast
Connect it to your TV's HDMI port and power it on.
Make sure your device and the Chromecast are on the same Wi-Fi network.
In Chrome, click the three-dot menu → **Cast** → select your Chromecast or TV from the list.
The class will appear on the TV. Control playback from your device.
For live classes, join from your laptop or tablet and cast that tab. This lets you see the class on the TV while still controlling chat and playback from your device.
## How to connect with an HDMI cable
Most laptops have a full-size HDMI port. Tablets and newer laptops may need a USB-C to HDMI adapter.
The page should appear on the TV automatically.
On Windows: right-click the desktop → **Display settings** → Duplicate or Extend. On Mac: **System Settings → Displays**.
## Device compatibility
| Device | Works with Kibu | Notes |
| - | - | - |
| Google Chromecast / Google TV | ✓ Recommended | Cast from Chrome on any device |
| Laptop via HDMI | ✓ Recommended | Most reliable wired option |
| Desktop browser (Chrome, Edge, Safari, Firefox) | ✓ Full support | Chrome recommended |
| iPad | ✓ Full support | Great for individual or small group use |
| Android tablet | ✓ Full support | |
| iPhone / Android phone | ✓ Full support | Best for documentation features |
| Smart TV browser | Varies | Casting from another device is more reliable |
| Apple TV | Partial | Use AirPlay from an iPhone, iPad, or Mac |
| Roku | Limited | Use an HDMI cable from a laptop instead |
| Amazon Fire Stick | Limited | Use an HDMI cable from a laptop instead |
## Tips for group settings
* **Position the screen** where all participants can see it clearly before starting.
* **Test audio** before the session, make sure the TV or monitor volume is turned up.
* **Use a phone or keyboard** to control playback so you can move around the room freely while the class runs on the TV.
* **Stable Wi-Fi** makes a big difference. If you're experiencing buffering, try moving the streaming device or router closer together.
# Add or Remove Staff from a Group
Source: https://help.kibu.com/documentation/add-remove-staff-from-group
Manage which staff members can create service records for a group by adding or removing them from the group's Admins & Staff list.
Every group in Kibu has its own list of assigned staff. Staff added to a group's **Admins & Staff** list can create service records for that group. You can add or remove staff from a group at any time from the group's Settings tab.
The People panel has two tabs: **Admins & Staff** and **Members**. This article covers managing the Admins & Staff list.
## Add a Staff Member to a Group
You can select more than one staff member at a time, or click **Select all** to add everyone in the list.
The modal closes, a confirmation message appears, and the Admins & Staff count updates to reflect the new staff member.
Don't see who you're looking for in the Add Staff modal? Add them in organization settings.
## Remove a Staff Member from a Group
Scroll the Admins & Staff list or use the search box to find them.
A confirmation dialog asks you to confirm the removal.
A confirmation message appears, and the staff member is removed from the group's Admins & Staff list.

# Completing and Tracking Rhythms
Source: https://help.kibu.com/documentation/completing-rhythms
Complete a rhythm on web or mobile, review what was done, export your record for an auditor, and manage who gets notified.
Completing an item records what was done, who did it, and when. That record is the reason Rhythms exists, so it is kept permanently and can be exported for an auditor.
## Complete an Item
Use **Rhythms** in the left sidebar, or the Rhythms tab on the member or group. Select **Assigned to me** to narrow it to your own work.
Read the completion instructions at the top if the template has them.
Tick the box, upload or link the file, or answer the form questions, depending on how the template was built.
Some templates require a note before the signature is accepted. Sign to finish.
You will see the items assigned to you.
The same evidence, note, and signature as on the web.
Paused items do not appear on mobile. If something is on your list, it is yours to do.
As soon as an item is completed, Kibu creates the next one. There is nothing to schedule by hand.
You do not have to be the assigned person to complete an item. The person who actually walked the building is not always the person it was assigned to, and blocking them would leave real work recorded as missed.
### Late and missed items
An item past its due date stays completable and is marked as completed late. Recording what happened is always better than leaving a gap.
Too far from the due date to sign off. The button appears on its own when the window opens.
Past its due date and not yet completed. Still completable.
## Correcting a Record
Staff who have been given permission to amend records can fix a submission, move a due date, or reopen something completed by mistake.
Amending a signed record marks the original signature as no longer valid, and that is visible in the history. This is deliberate, so an auditor can always see that a record was changed after signing.
## History
Every rhythm keeps its own history: each completed item, newest first, with the evidence it was signed against.
Open it from the three dot menu on any rhythm row, on the Rhythms page or on a member or group tab. Older entries load twenty at a time from a button at the bottom of the list.
Two things worth knowing:
* Form answers are shown as the questions were worded **at the time it was signed**, not as the template reads today. Editing a template never changes a record you already have.
* An item whose evidence was removed stays in the list, marked as having none. Hiding it would misstate the count.
## Export for an Auditor
Select **Export** for a CSV or a PDF.
The export matches what is on your screen, including your filters and the order rows are in. Narrow the page to one house, one template, or one date range first, and the export carries exactly that.
Export is in the same place and does the same thing on the Rhythms page, a member or group tab, and a rhythm's history.
## Who Gets Notified
| Notice | Goes to |
| - | - |
| Advance reminders | The people assigned to the item |
| Completed | Subscribers, except whoever completed it |
| Missed | Subscribers |
Nobody else is notified. Directors are not added by default, because the Rhythms page is their tool and a notification for every item in the organization is noise.
If a rhythm has nobody assigned, its reminders go to the subscribers instead.
### Changing who hears about it
Go to **Settings > Notifications > Rhythms**. Choose a scope on the left, then the people on the right.
Each option reads as the template plus the member or group it is attached to, such as "Fire Drill · Westview Residence", because one template is usually attached in several places.
Selecting a group covers the rhythms attached to that group **and** the rhythms of the members on its roster.
## When Staff Leave
Filter the Rhythms page by the person who is leaving, select everything shown, and reassign the whole set in one step.
Future items move to the new owner. Completed history keeps the name of whoever actually did the work.
## Next Steps
What Rhythms are, and when to use one instead of a Care Task.
Build a template, set the schedule, and attach it.
# Creating Life Plan Goals
Source: https://help.kibu.com/documentation/creating-lpg
This guide will walk you through the process of creating effective Life Plan Goals in Kibu.
Life Plan Goals in Kibu are member-specific, unique to each individual, unlike daily notes, which are shared across the group.
## Before You Begin
Ensure you have:
* Your groups correctly created
* Member(s) added to their correct group assignments
You can save time by copying existing goals from other members. After clicking the "+ New Goal" button, select "Copy From Member" to search and select a previously created goal. The selected goal and tasks will be copied and can be customized for the current member, eliminating the need to create similar goals from scratch.
## Step-by-Step Creation Process
* **Goal Title:** Enter a clear, descriptive name.
* **Goal Description:** Provide context about the goal.
* **Target Date:** Set the completion timeframe if this is a goal with a deadline.
* **Group Assignment:** Select which group(s) will track this goal for the specific member.
* **Select Create:** Once you are satisfied with your goal details press the **Create** button.
Now to configure the questions that allow you to track goal progress, choose the most appropriate format for your goal tracking. We know this can be an intimidating process so we have outlined how best to use each option below:
Tips for writing initial questions:
* Keep questions simple and direct
* Focus on one specific behavior or task per question
* Use consistent terminology across goals
* Consider how the data will be used for progress tracking
* **Yes/No Questions** — Best for: Clear, binary outcomes. Example: "Did \[Member] participate in the activity today?"
* **Single Select** — Best for: Choosing one option from multiple choices. Example: "What level of support was needed today?" — Independent, Minimal Support, Full Support.
* **Multi Select** — Best for: Selecting multiple applicable options. Example: "Which activities did \[Member] engage in today?" — Art, Music, Movement, Social Interaction.
* **Numeric Entry** — Best for: Quantifiable goals. Example: "How many minutes did \[Member] engage in the activity today?"
* **Short Text** — Best for: Brief responses or quick notes. Example: "What was \[Member]'s initial reaction?"
* **Long Text** — Best for: Detailed observations and comprehensive notes. Example: "Describe \[Member]'s interaction during the activity and any notable behaviors observed."
Create your initial goal questions by selecting **Add Task** and choosing from the task types explained above. These are the first questions a DSP will see when filling out a members service record for the day.
The right side of the life plan goal builder offers a preview of what your staff will see and allows you to test goals before saving them.
Once you have decided the initial questions it is time to create followup questions/fields each DSP will complete based on the initial response:
**Example "Was goal practiced":**
Skip follow-up since goal was not practiced.
Display a follow up text area asking how the task went.
Before finishing your goal:
## Multiple Life Plans Per Member
Members can have more than one named life plan. This allows you to organize goals into separate plans, for example, one plan for daily living skills and another for employment goals.
Each plan:
Has its own name set by the administrator.
Contains its own set of goals.
Tracks acknowledgements separately.
In service records, goals are organized and labeled by which plan they belong to, making it easy for staff to navigate to the relevant section.
### To create a new plan for a member
## Deleting Goals
When a goal is made inactive or marked as complete, its tasks continue to appear correctly on any past service records created while the goal was active. Your historical records are never affected by changes to a goal's current status.
If you delete a goal entirely, the data will not show up in reporting or be accessible.
## Exporting Life Plan Goal Data
Life plan goal data can be exported for reporting, compliance, or sharing with support coordinators.
You can export:
Data for a single goal.
Data for all goals at once.
Graphs showing progress over time (for one goal or all goals).
### To export
## Best Practices
* Be specific and measurable
* Use clear, simple language
* Focus on observable behaviors
* Include success criteria
* Set realistic timeframes
* Use consistent terminology
* Include relevant context
* Document both successes and challenges
* Note any modifications needed
* Review progress regularly
* Adjust goals as needed
* Document any goal modifications
Regularly review and adjust goals based on member progress and changing needs, as the most effective goals evolve with the member's development. Ensure all goals are confirmed with the authorizing party to maintain proper documentation.
**Note for admins:** Life Plan Acknowledgements under Settings require staff to review and acknowledge a member's life plan before signing service records. When enabled by an admin, staff must review the member's goals and teaching methods, and click acknowledge to confirm. Admins can configure whether this blocks service record signing entirely or simply reminds staff, and can set it to expire after a certain period of time or whenever the life plan is updated.
# Creating and Attaching Rhythms
Source: https://help.kibu.com/documentation/creating-rhythms
Build a rhythm template, choose how the record is captured, set the schedule, and attach it to your members and groups.
A template defines what to capture and how often. You build it once, then attach it to every member or group it applies to.
Templates live in **Settings > Rhythms**. Creating and editing them is an administrator job.
## Build a Template
Select **Create Rhythm Template**. The builder has four sections, and a live preview beside it shows the rhythm exactly as staff will see it.
Give the template a name, an icon, and a short description. Then choose **Members** or **Groups**.
Use **Groups** for anything that belongs to a house, a vehicle, or a program. Use **Members** for anything that belongs to one person.
Under **What it captures**, pick one of the three evidence types below.
**Completion Instructions** appear at the moment staff complete the item. Use them for "check the fluid levels before signing" or "upload the signed copy from the practice."
**Require a Note** holds the signature back until the person completing writes one.
Under **When it comes due**, pick a **Cadence**, then answer "When is the first one due?" The next three real dates appear underneath, so you can confirm the pattern before saving.
Set the **Completion Window** and **Reminders** here too. Both are covered below.
**Default assigned** is who owns the item. **Default subscribers** are notified when it is completed or missed.
Both are starting points that whoever attaches the template can change.
You cannot switch a template between Members and Groups after it is created. Build a second template instead.
## How the Record Is Captured
Confirm it happened and sign. Best for a smoke detector test or a weekly temperature check.
Upload or link the signed document. Best for an ISP review or a visit summary.
Answer the questions you build below. Best for a fire drill or a vehicle inspection.
In **Form** mode, a question editor appears under the evidence tiles. It is the same builder used by Quick Forms, so the question types will be familiar.
## Cadence
| Cadence | Can use it for |
| - | - |
| Daily | A vehicle walk-around or a daily house check |
| Certain days of the week | Weekday-only checks |
| Weekly | Water or fridge temperatures |
| Monthly | Fire drills, smoke detector tests |
| Quarterly | Quarterly nursing reviews |
| Every 6 months | Service plan reviews |
| Annually | Wellness visits, annual inspections |
| Custom interval | Anything on its own rhythm, such as every 18 months |
| Set each due date by hand | Items with no fixed cycle, where someone sets the next date each time |
**Daily** and **Certain days of the week** are available on group templates only. Daily documentation for one person belongs in Care Tasks.
### The completion window
The completion window is how many days before the due date staff can sign the item off. A 60 day window on an annual review means it opens two months early.
The window never closes. A late item stays completable, because a missed fire drill still has to be recorded once it happens.
Items that come due more often than once a week always open on the due date itself, whatever window you set. A daily check signed a day early is not evidence of anything.
### Reminders
Reminders go to the people assigned to an item, counted back from its due date. An annual review might remind at 90, 60, and 30 days out. If a rhythm has nobody assigned, its reminders go to the subscribers instead.
## Attach the Template
A template does nothing until you attach it. Kibu offers to do this as soon as you save a new one, and you can attach at any time afterwards.
Go to their **Rhythms** tab and select **Add Rhythm**. **Add Rhythm** on the main Rhythms page works too.
Only templates built for that type appear. A member will not be offered a group template.
Kibu proposes the next date that fits the template's schedule. Change it if this member or group is on a different cycle. Everything after it counts from this date.
The template's defaults are filled in, and you can change them here. Leaving the list empty is allowed, and the item then reads **Anyone may complete it**.
Attaching one template to many members or groups at once is quicker. Use bulk attach from **Settings > Rhythms** when an annual review applies to everybody, and set each date in the table it gives you.
## Editing a Template Later
Editing a template updates every rhythm attached to it, and Kibu tells you what the change will do before you save. Records already signed keep the questions they were answered against, so history never changes retroactively.
Pausing a template stops new items from being created. Anything already open stays open and stays completable.
## Next Steps
Complete items on web and mobile, review history, and export your record.
What Rhythms are, and when to use one instead of a Care Task.
# Group Settings
Source: https://help.kibu.com/documentation/group-settings
Properly configured group settings are essential for efficient service delivery and accurate documentation. Kibu makes it easy to customize each group's settings to match your specific program requirements and compliance needs.
## Why Group Settings Matter
The right group configuration ensures:
* Staff can efficiently document services
* Members receive appropriate care and support
* Documentation meets compliance requirements
* Service tracking aligns with billing needs
Save time by configuring settings once and importing them to multiple groups! Instead of manually configuring each group's settings, you can set up one group exactly how you want it, then use the import feature to copy those same settings to all your other groups.

### Notifications
Group-level notifications keep admins and staff informed without requiring them to manually check the platform. There are three configurable notification types:
* **Description:** Automatically emails staff when they have unsigned service records or even if all notes are signed.
* **Purpose:** Reduces incomplete documentation and helps organizations stay compliant.
* **Description:** Sends a daily digest of unsigned notes to selected admins.
* **Purpose:** Gives supervisors a consolidated view of outstanding documentation across the group.
* **Description:** Sends a summary of active or ended time tracking sessions to selected admins.
* **Purpose:** Helps supervisors identify sessions that may have been left running unintentionally.
These settings can be adjusted at any time by group administrators. Changes will affect new service records but won't impact existing records.
### Danger Zone
Actions in the Danger Zone are irreversible. Proceed with caution.
* **Description:** Overwrites this group's settings with the settings from another group.
* **Use Case:** Useful when setting up multiple groups with identical configurations. Configure one group first, then import those settings to others to save time.

# Life Plan Goal Acknowledgement
Source: https://help.kibu.com/documentation/life-plan-goal-acknowledgment
Life Plan Goal Acknowledgements give your organization a way to confirm that staff have read and understood each member's life plan and goals before completing service records. Administrators configure how acknowledgements work at the organization level.
To configure acknowledgements:
## Setting Up Acknowledgements
Administrators can choose from three acknowledgement behaviors to appear in staff notes when plans need to be acknowledged.
Staff will not be visually reminded about acknowledgments in the service record.
Staff must acknowledge the life plan before they can sign a service record.
Staff see a reminder, but it does not prevent them from signing service records.
## When Re-Acknowledgement Is Required
Administrators can require staff to re-acknowledge a goal in two situations:
Any change to the goal triggers re-acknowledgement.
Goals must be re-acknowledged on a regular schedule.
## The Staff Experience
When acknowledgements are required, staff will see a prompt when opening a member's life plan goals in a service record. They must confirm they have reviewed the goal before proceeding.
If a goal has been updated since it was last acknowledged, it will be marked as needing re-acknowledgement and staff will see a notice to review the changes.
## Acknowledgements Overview
Administrators can view all acknowledgements across the entire organization from the Acknowledgements Overview page.
This shows:
* Which life plans have been acknowledged and by whom
* Which life plans are pending acknowledgement
* Acknowledgement history per member and per admins & staff
To access the overview:
## Exporting a Report
In the Acknowledgements report, click the **Download** button to export an Excel spreadsheet. You can choose between a member-level or staff-level report showing what has been acknowledged and what is outstanding.
## Marking a Goal as Outdated
Administrators can manually mark a goal as outdated from the goal's edit page. This immediately triggers re-acknowledgement requirements for staff assigned to that member.

The electronic Medication Administration Record (eMAR) system provides a comprehensive digital solution for tracking medication intake. This intuitive interface allows caregivers to maintain detailed records of medication administration for each member.
## Recording a Medication Administration
To record that a medication has been given:
For PRN medications, you can administer multiple at once.
* A photo of the medication for visual confirmation (if one has been added)
* Side effects to monitor
* Administration instructions
Always verify you have the right medication and the right member before confirming.
All medication information including images, side effects, and instructions can be added or edited in the pharmacy section of each member's profile. Learn more about managing medications in the [Pharmacy Page](/documentation/pharmacy).
The medication administration record will be automatically added to the member's eMAR and available for immediate viewing.
On the eMAR page, you can:
* View a calendar-style interface showing medication records for each day of the month
* Track multiple medications per member with specific administration times
* Record the status of each medication administration
* Send notifications to staff members
## Administration Statuses
For each medication administration, you can mark one of the following statuses:
Medication was given as prescribed.
Medication was given but with some deviation.
Medication was not given.
When marking a medication as "Administered Incorrectly" or "Not Administered", you can:
* Document the reason for the deviation
* Add detailed notes about the situation
* Complete a medication incident report if required
If a medication administration was logged by mistake, it can be deleted. Only administrators can delete eMAR entries. To request a correction, contact your organization's administrator.
## Scheduled and PRN Medications
Medications are organized into two separate tabs:
Medications given on a regular, time-based schedule.
Medications given as needed.
Switch between the tabs in the "Care Tasks" tab to view and record each type. A dedicated PRN table also appears on each member's eMAR page, so you can always see which PRN medications have been administered.
## Recording a Missed Medication
If a medication was not documented on the correct day and needs to be added after the fact:
Administrators can also update MAR records for medications that have since been marked as inactive, for example, to correct a record from before a medication was discontinued. Contact your administrator if you need help with a past record.
## Tracking Medications from Care Tasks
Scheduled medications and PRN medications can both be tracked directly from a member's **Care Tasks** page, you do not need to navigate to the Medications section to log either.
To get there, open the member's profile and select the **Care Tasks** tab.
## Medication Error Reports
If your organization has a Medication Error Report form set up, you can log an error directly from the MAR. If you don't have one yet, contact [support@kibu.com](mailto:support@kibu.com) and the Kibu team will help you get it added.
Once your form is in place, there are two ways to file a report:

# Note Templates
Source: https://help.kibu.com/documentation/note-templates
Kibu allows your organization to create custom documentation forms that staff complete as part of daily service records. These forms let you capture exactly the information your organization needs for compliance and care planning.
Note templates are managed by Kibu's support team on your behalf. You cannot edit them directly in the app, but this page will help you understand what's possible so you can come prepared when requesting changes.
To request a new template or make changes to an existing one, email [support@kibu.com](mailto:support@kibu.com).
## Where to Find Note Templates
Go to **Settings** and select the **Note Template** section to view your organization's current templates. From here you can review what's in place, print blank forms, and see how templates are structured, but edits must be requested through Kibu support.
## Planning Your Template
Before reaching out to support, it helps to know what question types are available and how they work. Use the sections below as a reference when deciding what you'd like your template to include.
### Question Types
When building a template, you can choose from these question formats:
A simple binary question (e.g., "Did the member participate?")
Staff choose one answer from a list.
Staff can choose multiple answers.
A brief written response.
A detailed observation.
A numeric entry (e.g., minutes of activity).
A specific date.
A specific time.
Both date and time in one field.
A start time and end time captured together.
A repeating table of entries (see below).
### Conditional Questions
Conditional questions only appear when a staff member selects a specific answer to a previous question. This keeps forms simple, staff only see the questions relevant to what they're documenting.
**Example:** If "Did the member participate?" is answered "No," a follow-up asking for details won't appear. If answered "Yes," a text field asking for more information will automatically show up.
### List Questions and Table View
List-type questions can be entered in a table view, making it easy to add multiple rows of data in an organized format, which is useful for tracking repeated entries like meals or activities throughout the day.
## Template Versioning
When a template is updated, all past service records continue to show the version that was in use when they were originally completed. Your historical records always reflect the documentation requirements that were in place at the time.
## Printing Blank Forms
If your organization needs to document on paper, for example, during a technology outage, you can print a blank version of any form template to fill out by hand. Data can be entered into the system later.
To print a blank form:
# Notification Center
Source: https://help.kibu.com/documentation/notification-center

The Notification Center is available on both the web platform and the Kibu mobile app.
## What Triggers Notifications
Kibu sends notifications for the following events:
A scheduled medication was not recorded as administered.
A medication was logged as given incorrectly.
A notification is sent every time a specific Quick Form is submitted.
A scheduled Quick Form was not completed in time.
## Setting Up Notifications
Notifications are managed in **Settings → Notifications**. The page is divided into two tabs: **eMAR** and **Quick Forms**. Each tab controls notifications for that category independently.
On the left side of the page, you will see:
Subscribers here receive notifications for all members across every group.
Select a specific group to configure notifications only for members in that group.
This means you can have different people subscribed at the organization level versus the group level, giving you fine-grained control over who gets notified about what.
### Subscribing Someone to Notifications
You can subscribe users one at a time or in bulk.
For Quick Forms, you can select **On Submission** (for specific forms) and/or **Missed** (for scheduled forms that were not completed).

## Adding a New Medication
To add a new medication for a member:
### Medication Information
When adding a medication, you can specify the following details:
Name of the prescribed medication.
Prescription identification number.
Name of the doctor who prescribed the medication.
Amount of medication to be administered.
Notes about how the medication should be given, such as whether it should be taken with food, how to prepare a dose, or any special handling requirements.
Choose between:
* Over the counter
* Supplement
Set as either:
* Active
* Inactive
Method of administration (e.g., oral, topical, injection).
Set specific times and frequencies for medication administration.
Document the reason for the medication.
List potential side effects to monitor.
Any other relevant information about the medication.
## Medication Tracking
Once a medication is added:
* It becomes available for tracking for that specific member
* Appears on the member's eMAR (Electronic Medication Administration Record) when an administration is tracked
* Can be monitored and updated as needed
## Managing Multiple Medications
There is no limit to the number of medications you can add for each member. This allows you to:
* Track all necessary medications in one place
* Maintain an accurate record of both regular and as-needed medications
* Ensure proper medication administration and tracking
You can always edit or remove a medication in the pharmacy page if needed.
## Medication Photo
You can upload a photo of the medication bottle or label when adding or editing a medication record. This photo will appear on the administration screen when staff record a dose in the MAR, helping them visually confirm they have the right medication before administering it.
To add a photo:
## Downloading a Medication List
A member's complete medication list can be downloaded as a PDF. This is useful for sharing with healthcare providers, including in care plan documentation, or keeping on file.
To download the medication list:
## Removing a Medication
If a member is no longer taking a medication, you can remove it from their active list without permanently deleting the record. Removing a medication hides it from the active view while preserving all historical administration data.
To remove a medication:
If you need to permanently delete a medication record, contact [support@kibu.com](mailto:support@kibu.com).
## PRN Medication Dates
For PRN (as-needed) medications, you can set a start date and an end date to indicate when the medication may be administered. Once the end date has passed, the medication will appear as expired.
Expired PRN schedules remain visible in the interface so you can reference past records. They simply cannot receive new administration entries.
# Quick Forms
Source: https://help.kibu.com/documentation/quick-forms
Quick Forms are a structured way to collect recurring health and daily living data for your members. Rather than tracking these observations through daily service records, Quick Forms give you a consistent format that is easy to complete and easy to review over time.
***
## Why Use Quick Forms?
Quick Forms are designed for information that doesn't fit neatly into a service record or daily note. They give your organization a consistent, repeatable way to capture health observations, daily living data, and incidents the moment they happen, without relying on staff to remember details later.
Here are some of the reasons organizations use Quick Forms:
Log something the moment it occurs, like a seizure or a blood pressure reading, rather than waiting until end-of-shift notes.
Record as-needed events such as behavioral incidents, health checks, or inventory with a structured format every time.
Some Quick Forms can be completed for multiple members at once, making it efficient for staff working with a group.
Because every entry is timestamped and tied to a member, administrators can review data over time in table or graph format to spot patterns.
Forms can be set to appear automatically on a recurring schedule: daily, weekly, monthly, or custom patterns like every third Tuesday, so routine documentation never gets overlooked.
Each entry is automatically linked to the member and records the date and time it was completed.
***
## Creating a Quick Form
Administrators can build Quick Forms directly in Kibu using the visual form builder. No technical knowledge needed.
To create a Quick Form:
Once created, the form is available to staff for data entry.
***
## Quick Form Settings
Quick Forms offer a variety of settings to help you customize Care Tasks. While these settings are turned off by default, you can enable them under:
1. **Always Notify** - Send a notification every time this Quick Form is submitted
2. **File Attachments** - Allow file attachments when submitting this Quick Form
3. **Scheduled** - Allow this Quick Form to be scheduled on a recurring basis. Instead of relying on staff to remember when a form is due, the system surfaces it at the right time as a Care Task. Schedules are set per member, so each member can have their own custom recurrence. For example, one member might have a Water Intake check every Wednesday at 9:30 AM while another has it daily.
4. **Multi-Member** - Allow selecting multiple members when submitting this Quick Form
5. **Billing Relevant** - Mark this Quick Form as relevant for billing purposes
***
## Completing a Quick Form
To complete a Quick Form entry for a member:
Each completed entry is automatically timestamped and linked to the member.
**Never**, **On** a specific date, or **After** a set number of occurrences.
Once scheduled, the form appears in the member's **Care Tasks** tab in a calendar grid view showing each day of the month. Each scheduled occurrence is tracked:
The task was completed correctly.
The task was not recorded and the window has passed.
The task was completed but incorrectly.
This makes it easy for administrators to spot missed documentation at a glance.
Data is displayed in both table and graph formats, making it easy to see how a member's metrics are changing over time.
***
## Notification Alerts
Administrators can set up automatic notification rules for Quick Forms. For example, if a member's blood pressure falls outside a set range, a notification can be sent to alert staff automatically.
Notification rules can be configured at the organization level or for a specific group.
See the [Notification Center article](/documentation/notification-center) for more information.

# Quick Notes
Source: https://help.kibu.com/documentation/quick-notes
Document member activities and behaviors instantly from anywhere in Kibu with our Quick Notes feature - because it takes a village to provide great care.
Quick Notes is a powerful collaborative documentation tool that enables any staff member to contribute observations and activities to member service records, regardless of their role or direct assignment. This feature embodies our philosophy that "it takes a village" to provide comprehensive care and documentation.
## Key Features
Available anywhere within Kibu via the blue note button in the bottom-right corner. Always ready for instant documentation and available to all staff members.
Tag members using the @ symbol. Notes automatically appear in tagged members' records with real-time updates to member timelines and seamless integration with service records.
Tag multiple members using the @ symbol. Notes automatically appear in tagged members' records with real-time updates to member timelines and seamless integration with service records.
You can tag multiple members or entire groups in a single Quick Note if they participated in the same activity or event.
## How It Works
### Creating a Quick Note
### Accessibility Features
Quick Notes offers several features to make documentation as effortless as possible:
Available on both mobile and web platforms. Simply tap the microphone icon and speak, perfect for hands-free documentation while actively engaging with members. Automatically transcribes your observations.
Document in your preferred language and Kibu automatically translates to your organization's default language. Supports multiple languages to enable multilingual staff collaboration.
The purple button instantly fixes spelling and grammar. Corrects common typing errors while maintaining the original meaning and context, no need to worry about perfect typing.
Select the image icon to add photos and upload multiple images per note. Perfect for capturing group activities, art projects, special events, achievement moments, and program participation.
Focus on capturing the important details and let our features handle the polish. The goal is to make documentation easier for DSPs, not add complexity.
### Types of Documentation
Quick Notes can be used to document:
* Class participation
* Activity engagement
* Notable incidents
* Behavioral observations
* Group interactions
* Special achievements
* Daily events
## Best Practices
Be clear and concise. Include specific times when relevant and document promptly after observations.
Double-check member names and ensure correct members are tagged.
Remember: Any staff member can contribute valuable observations about any member - Quick Notes makes this easy and accessible.
Make the Quick Notes button your go-to tool for instant documentation - it's always there when you need it!
# Rhythms Overview
Source: https://help.kibu.com/documentation/rhythms-overview
What Rhythms are, how templates and rhythms fit together, and when to use a Rhythm instead of a Care Task.
Rhythms are recurring items that come due on a schedule and leave a signed record behind. Fire drills, vehicle inspections, water temperature checks, annual ISP reviews, quarterly nursing reviews. Each one has a due date, an owner, and proof of what was done.
If your agency tracks this in a spreadsheet today, Rhythms replaces it.
## Key Concepts
What to capture and how often. Built once, in Settings. "Fire Drill" is a template.
One template attached to one member or one group. "Fire Drill for Westview Residence" is a rhythm.
Build a template once, then attach it everywhere it applies. Each rhythm keeps its own due date and its own history.
Completing a rhythm never ends it. Finish this month's fire drill and Kibu creates next month's.
## Rhythm or Care Task?
**Care Tasks** are medication and medical administration for one person. If it belongs on the MAR, it is a Care Task.
**Rhythms** are recurring items that need a checkbox, a form, or an uploaded file as the record. They can belong to a person, a house, a vehicle, or a program.
| | Care Tasks | Rhythms |
| - | - | - |
| What it is | Medication and medical administration | Recurring checks, reviews, and documentation |
| Timing | A set time of day | A due date, ready to complete any day before it |
| As-needed (PRN) | Yes | No |
| Attaches to | A member | A member or a group |
| The record | A documented administration or quick form, signed | A checkbox, form, or file, signed |
| Set up in | Settings > Quick Forms or
Member Profile > Medications | Settings > Rhythms |
Daily and specific-weekday schedules are available on **group** rhythms only. Daily documentation for one person belongs in Care Tasks.
## The Rhythms Page
Select **Rhythms** in the left sidebar to see everything open across the members and groups you have access to.
Items are grouped by how soon they are due: Overdue, Next 30 Days, 31 to 60 Days, 61 to 90 Days, and More Than 90 Days Out.
Three views sit across the top:
Everything in your scope. The page opens here.
Only the items you own.
Paused rhythms, which are never deleted.
**Filter** narrows by member, group, rhythm, assignee, or due window. **Group by** stacks rows by due date, group, assignee, or rhythm. Your filters are remembered next time.
An item showing **Not open yet** instead of **Complete** is not close enough to its due date to sign off yet. The button appears on its own once that window opens.
## Where Rhythms Appear
The Rhythms tab lists what that person has coming due, plus their history.
The Rhythms tab lists what that house or program has coming due, along with the group's members.
Staff complete the items assigned to them from the Kibu app.
Emails and in-app notifications can deliver reminders and completion notices.
You can change an owner, view history, or remove a rhythm from any of these places.
## Who Can See What
You see rhythms for the members and groups already in your scope. Administrators build templates in Settings. Supervisors attach rhythms and change owners. Staff complete the items assigned to them.
Anyone who can complete items can complete any item in their scope, not only their own. The person who walked the building is not always the person it was assigned to.
Not seeing Rhythms? It can be switched off for an organization. Contact [Kibu Support](https://help.kibu.com/support/contact).
## Next Steps
Build a template, choose how the record is captured, and attach it.
Complete items, review history, and export your record.
# Service Records
Source: https://help.kibu.com/documentation/service-records
Learn how to manage daily member documentation and maintain compliance using Kibu's service records system.
Service records are the foundation of daily documentation in Kibu. Each service record captures that services were provided to a specific member, in a specific group, on a specific day, including time tracking, notes, and life plan goal progress.
## Key Components
Individual member details, group association, assigned staff members, and attendance status (Present/Absent).
When enabled, tracks member arrival time, departure time, and total service duration. Can easily be exported to reports for billing-related needs.
Time tracking can be essential for billing accuracy and compliance requirements. Make sure this feature is enabled if your organization requires it.
### Documentation Fields
Each service record has a dedicated space for:
* Time tracking (if enabled for your group)
* Staff hours (if enabled for your group)
* Required documentation fields (customized by your organization)
* Life plan goal tracking
### Life Plan Goals
* Links directly to member's [Life Plan Goals](/documentation/life-plan-goals)
* DSPs track daily progress on assigned goals during their shift
* Each goal appears with its specific tracking questions and response options
* Goals can be marked as completed, attempted, or not applicable for the day
* Responses contribute to the point-based tracking system for measuring long-term success
Use quick notes to document specific examples of goal progress throughout the day - this helps create a more detailed record of the member's achievements.
## Starting a Service Record
To start a service record, navigate to the group where the member is receiving services. From there, you can create a new service record for that individual at the beginning of each day. If a member is marked as present a record automatically gets created and is free to be edited.
After staff members are assigned to individuals and service records are created, these records appear on each DSP's home page as an incomplete service record. As DSPs complete their daily documentation, the records are removed from view. The ultimate goal is to have all records completed by the end of the day, resulting in a clear home page and 100% compliance.
## Timeline Feature
The left-hand timeline provides a structured view of the member's day.
## Quick Notes in the Timeline
* Quick notes appear in the timeline as staff enter them throughout the day
* Each note is automatically timestamped and displayed chronologically
* Provides real-time documentation of member activities and events
* Creates a natural flow of the day's activities as they happen allowing for easy record completion at the end of the day
Encourage staff to add quick notes throughout their shift to maintain an accurate timeline of activities and events.
## Magic Pen AI Assistant
The Magic Pen analyzes your Quick Notes from the current day to automatically suggest content for the documentation fields.
Always review AI-generated content for accuracy before finalizing service records.
## Completing Service Records
Use Magic Pen for timesaving.
You can save partially completed records and return to them later in the day. The record will remain in your incomplete list until signed.
Service records can be modified even after being signed if needed:
* Access the signed record from the group's documentation history
* Make necessary changes or additions
* Re-sign the record to save modifications
* All changes are tracked in the record's audit history
Ensure all documentation is accurate and complete before signing. While records can be modified later, maintaining accurate documentation at the time of service is a best practice for compliance.
## Multiple Staff Notes
Service records support multiple notes, each written and signed by a different staff member. This makes it easy for teams where more than one person supports a member during the day to each contribute their own documentation.
Each note in a service record:
Is written by a specific staff member.
Is signed individually by that staff member.
Appears alongside notes from other staff on the same record.
When you open a service record that has multiple notes, it will automatically open to your own note rather than another staff member's.
## Recording a Pause
If a service is interrupted during the day, for example, if a member steps out and returns, you can record a pause on the service record. When you pause a record, you will be prompted to enter a reason.
Pause details appear in:
* The service record timeline
* CSV exports of the record
* PDF exports of the record Each pause entry shows when it started, how long it lasted, and the reason given.
## Exporting a Service Record as PDF
Completed service records can be exported as PDF files for your records or compliance documentation.
The PDF includes:
* Member and staff details
* Time tracking information
* Documentation field responses
* Life plan goal entries
* Who signed the record and when
* If the record was paused: the reason for each pause, when it started, and how long it lasted
## Best Practices
* Update records in real-time when possible
* Use quick notes for immediate documentation
* Review Magic Pen suggestions carefully
* Ensure all required fields are completed
* Document goal progress accurately
* Complete all required fields
* Document according to organizational standards
* Maintain consistent documentation practices
* Review records before finalizing
* Use Quick Notes for rapid activity documentation, real-time timeline updates, and simplified entry
* Use Magic Pen to reduce manual data entry, maintain a consistent documentation format, and improve accuracy
## Training Staff
When training staff on service records, make sure to cover:
Regular training and support ensure your team makes the most of Kibu's service record features while maintaining compliance standards.

#### Filling Out Forms as a DSP
Once forms have been uploaded by an admin, staff can access and complete them directly from a member's profile.
### Quick Forms
Quick Forms provide staff with a structured, lightweight method for capturing ad-hoc or event-based observations that fall outside of daily notes and ISP goals. Whether documenting behaviors, seizures, vital signs, or meal entries, Quick Forms allow staff to record important details in real time, ensuring nothing goes undocumented.
Admins build Quick Form templates in Settings, defining the fields, question types, and logic that staff will see. Once published, forms are available for staff to submit. Each submission is timestamped and stored for review, and admins can configure notifications to alert supervisors when a form is submitted.
#### Filling Out Quick Forms as a DSP
Submissions are saved automatically with a date and time stamp.
### Magic Pen
Magic Pen is an AI assistant built into service records that helps staff complete documentation faster and more consistently.
* Analyzes Quick Notes entered throughout the shift
* Automatically suggests responses for service record fields based on what was documented
* Works across custom documentation fields and life plan task responses
* Reduces end-of-day documentation burden without replacing staff judgment
### Life Plan
The Life Plans section under Settings contains three components: All Life Plans, Options Library, and Acknowledgements.
#### All Life Plans
Life Plans provides an org-wide view of all member life plans, giving admins visibility across the organization in one place.
* Comprehensive display of all life plan goals
* Member associations
* Overview of goal details
#### Options Library
Options Library provides a set of predefined answer choices that can be reused across life plan goal tasks, saving time when building out goals that share common response options.
Streamline goal creation with predefined option sets:
* Create reusable option sets
* Manage predefined scores
* Ensure consistent evaluation
* Save time on goal creation
Use the Options Library to maintain consistency in goal evaluation across your organization.
#### Acknowledgements
Acknowledgements is where admins configure how staff are required to review and acknowledge member life plans before signing service records. Admins can set the enforcement behavior (block signing, reminder only, or none), choose whether acknowledgements reset when a life plan is updated, and define an expiration period after which staff must re-acknowledge.
### Training Records
Track staff training compliance across your organization.
* Create, assign, and track staff training requirements.
* Admins can build custom training with titles, descriptions, links, and file attachments, then assign them to individual staff or entire groups.
* Completion can be enforced by blocking service record signing or medication administration until a training is done, and training can be set to expire on a schedule.
### Custom Fields
Add organization-specific identifying information for members, groups, and admins.
* Review all custom fields
* Create/edit/remove custom fields
#### Common Use Cases
* Medicaid numbers
* Physician contact information
* Insurance details
* Program-specific identifiers
Member Custom fields appear in the about section of member profiles and can be filled out individually for each member.
### Overlap Rules
Overlap Rules control how the system handles time tracking conflicts when a member is documented across multiple groups at the same time. When billing is enabled and a group has an overlap rule assigned, the system detects conflicting time windows and either blocks the overlap or prompts staff to transfer time from one service record to another.
### Notifications
Notifications is where admins configure org-level notification preferences, determining which events trigger alerts and who receives them.
### Offline Forms
Offline Forms allow organizations to configure forms that can be used when staff do not have an internet connection, ensuring documentation can still be captured in the field and synced later. They are printable PDF forms for offline use.
## eMAR
eMar (Electronic Medication Administration Record) in Kibu is the module for tracking medication administration for members. It allows staff to log whether medications were given correctly, incorrectly, or not administered at all, along with reasons and notes. Please refer to the eMAR article for further information.

## Custom Staff Roles
While Kibu provides standard roles (Staff, Supervisor, Admin, Super Admin) that work for most organizations, we understand that some organizations have unique requirements that don't fit perfectly into these predefined roles.
### When Custom Roles Are Needed
Custom roles may be beneficial when your organization needs:
Unique combinations of access levels that don't match standard roles.
Specific permission sets required by regulatory bodies.
Different access levels for various departments or programs.
### How Custom Roles Work
Our development team can create custom roles that:
Mix and match capabilities from existing roles.
Limit access to specific resources or groups.
Include specialized permissions not available in standard roles.
Ensure proper access control while meeting your specific needs.
### Requesting Custom Roles
To request a custom role for your organization:
Reach out to our support team at [support@kibuhq.com](mailto:support@kibuhq.com)
Provide detailed information about:
* What permissions the role needs
* What permissions should be restricted
* How the role differs from existing standard roles
* Who will use this role and why
Our team will review your requirements and work with you to design the appropriate role.
Once approved, we'll implement the custom role in your organization.
Custom roles are implemented by our development team and may require additional setup time. Contact us early in your planning process to ensure timely implementation.
***
## Best Practices
When assigning roles, consider the following best practices:
Assign the minimum level of access required for each staff member to perform their duties.
Periodically review and update role assignments as staff responsibilities change.
Ensure staff members understand the scope and limitations of their assigned roles.
If standard roles don't meet your needs, consider requesting custom roles early in your implementation process.
# Training Records
Source: https://help.kibu.com/documentation/training-records
Staff Training Records allow your organization to define and track required trainings for compliance. Administrators set up the trainings staff need to complete, and the system tracks who has completed each one.
## Creating a Training Record
To create a new training requirement:
Reminds staff on service records when the training is expired or incomplete.
Prevents staff from signing service records when expired.
Prevents staff from making MAR entries when expired.
The number of days after completion before the training expires. Leave blank if the training does not expire.
When on, only authorized users can mark staff as complete.
## Assigning Staff to a Training
Once a training is created, you need to assign it to the staff members who are required to complete it.
Assigned staff will receive a notification to complete the training. Once assigned, each person appears in the training record with a status of **Assigned**, along with the timestamp of when they were assigned and their expiration date once completed.
## Tracking Completion
Each training record shows a summary at the top:
Total number of staff assigned to this training.
Staff who have finished.
Staff who have been assigned but not yet completed.
Staff whose training has expired.
You can search by staff name and use **Show History** to view past completions.
## Marking a Training as Complete
To mark a training as complete for a staff member, open the training record, find the staff member in the list, and use the actions menu (**...**) to mark them complete.
If **Restricted Completion** is enabled on the training, only authorized users can do this.
## Downloading Training Records
Training completion data can be exported as an Excel spreadsheet. Click the **Download** button from within any training record to export the data for that specific training, including staff names, statuses, timestamps, and expiration dates.
# Upload Life Plan Goals
Source: https://help.kibu.com/documentation/upload-lpg
Uploading Life Plan Goals through templates is an efficient way to create and organize goals in bulk for your organization. This guide will walk you through the entire process from template download to goal upload.
Uploading Life Plan Goals through templates is an efficient way to create and organize goals in bulk for your organization. This guide will walk you through the entire process from template download to goal upload.
## Getting Started
To access the upload tool:
## Step 1: Download the Template
The upload process begins with downloading a template file that you'll use to input your goals and tasks.
## Step 2: Understanding the Template Structure
The template contains two main tabs:
Where you'll define your life plan goals.
Where you'll add questions and tasks for each goal.
## Step 3: Creating Goals (Goals Tab)
Start by creating your goals in the **Goals Tab**.
### Required Information
A unique identifier for each goal. Use any number, we recommend starting at 1 and using consecutive numbers for easier tracking.
Required. The name of your goal.
Optional descriptive text about the goal.
Start date defaults to today if left empty. End date defaults to "forever" if left empty.
In the template, you will see columns for member name and member ID. Do not edit these fields. They are used to match goals to the correct individual and should remain unchanged.
### Goal Key Guidelines
* Each goal must have a unique number
* Use consecutive numbers (1, 2, 3, etc.) for easier tracking
* Never duplicate goal keys, each must be unique
* You'll use this same key number to link tasks to the goal
### Example
| Goal Key | Title | Description | Start Date | End Date |
| - | - | - | - | - |
| 1 | Daily Living Skills | Focus on independence in daily tasks | 2024-01-01 | 2024-12-31 |
| 2 | Social Skills | Building relationships and communication | 2024-01-01 | Forever |
## Step 4: Adding Tasks (Tasks Tab)
After creating your goals, add questions or tasks using the **Tasks Tab**.
For each task, enter the same **Goal Key** as the goal it belongs to, then define the task details: the type of question (Yes/No, Select, Paragraph, etc.), the question or instruction to ask, and the required completion tracking details.
### Example
| Goal Key | text | type | required | display\_type | select\_options |
| - | - | - | - | - | - |
| 1 | Did you complete your morning routine? | Yes/No | Yes | Dropdown | |
| 1 | Number of meals prepared | Number | No | | |
| 2 | What skills were Practiced? | Multiselect | No | list | self advocacy, act of kindness, independance |
### Best Practices
* One goal can have many tasks (unlimited)
* Use descriptive questions that are easy to understand
* Consider what information you actually need to track progress
## Step 5: Uploading Your Goals
## Step 6: Managing Goal Assignment
Once uploaded, goals will be visible to **all groups** by default, available on member profiles, and appear in service records.
To assign goals to specific groups instead:
## Troubleshooting
Double-check that every goal in the Goals Tab has a unique identifier. No two goals can share the same Goal Key.
Verify all goals have titles completed. Title is a required field and goals cannot be uploaded without one.
Review cell formats in the template. If errors persist, download a fresh template and re-enter your data.
Ensure tasks in the Tasks Tab use the exact same Goal Keys as their corresponding goals. A mismatch will prevent tasks from linking correctly.
Check the error messages before finalizing, verify Excel version compatibility, and contact support if problems persist.
## Best Practices
Think about how often you'll track each goal, consider goal end dates carefully, and design clear, measurable tasks.
Don't overcomplicate task questions. Use concise and clear language, and test with a few goals before bulk uploads.
Group related goals with consecutive keys, use meaningful titles for easy identification, and document your goal key system.
Review uploaded goals before assigning to members, confirm goals appear correctly in member profiles, and test goal tracking to ensure proper functionality.
Remember to double-check your template for accuracy before uploading. This helps prevent complications and ensures all goals are properly formatted in your Kibu system.

User management is a critical aspect of maintaining your Kibu organization. This guide covers everything you need to know about managing both staff and members, including how to add, update, and remove users while maintaining data integrity and compliance.
***
## Understanding User Types
Kibu distinguishes between two primary user types:
Staff are your organization's employees who have login access to Kibu, create and manage documentation, and provide services to members. They have specific roles with varying permission levels (Staff, Supervisor, Admin, Super Admin, Read Only Admin).
Members are the individuals who receive services from your organization and are the subject of documentation and service records. They do not have login access to Kibu and have profiles managed by staff members.
For detailed information about staff roles and permissions, see our [Staff Permissions & Roles](/documentation/staff-permissions) guide.
***
## Adding Users
### Adding Staff to Kibu
You have two options to add new staff members to your organization:
* First name
* Last name
* Email address
Staff, Supervisor, Admin, Super Admin, or Read Only Admin.
Perfect for adding multiple staff efficiently:
First and last names, email, groups assignment, and role type are required.
The new staff member will receive an email with instructions to set up their account and password.
Review our [Staff Permissions & Roles](/documentation/staff-permissions) guide to understand which role best fits each staff member's needs.
***
### Adding Members
You have two options for adding members to Kibu:
Add members one at a time and immediately assign them to groups.
Perfect for adding multiple members efficiently:
First and last names are required, but you can add an email for them to view the content part of kibu.
### Updating Staff Information
* **To remove a staff member, update their staff role, or send a password reset email:** Go to **Settings > Users & Access** **> Admins & Staff**, locate the staff member in the table, click the three dots next to their name and select the appropriate action. By removing a staff members, their login access is immediately revoked, but their historical documentation remains intact.
* **To update a staff member's group assignments:** Click on the staff member's name to open their profile, then edit their group assignments from their profile page.
Staff email addresses cannot be changed once created and support must be contacted for adjustment. Role changes must be made by an existing administrator. Staff members cannot change their own roles.
### Updating Member Information
Member information, including medical records, custom fields, emergency contacts, and life plan goals, can be viewed and updated in the member's profile.
***
## Deactivating Members
### Important: Data Preservation
When you remove a user from Kibu, their account is **not permanently deleted** - it's deactivated. This means:
All historical data and records are preserved. Their account becomes inactive but remains in the system. No data is lost in the process.
Their account becomes inactive. Login access is immediately revoked. You can easily reactivate their account if they return.
All their service records, medical information, and documentation history will be preserved.
***
## Reactivating Members
## Best Practices
Periodically review and update user access as roles change.
Assign the minimum level of access required for each staff member.
Maintain up-to-date user lists for proper access control.
Remove access promptly when staff leave the organization.
Never share login credentials between staff members. Each person should have their own unique account for proper audit trails and accountability.
